Team Workspace Workshop

In a typical small workshop, every operator or estimator ends up with their own CutOptim account. Jobs get duplicated, someone edits the wrong version, and a cut plan runs on yesterday’s measurements. Team Workspace addresses this by giving your team one shared project list instead of three private ones.

Team Workspace is a Workshop-tier feature, designed for small workshops and fabrication shops where multiple people need to work on the same jobs without stepping on each other.

Team Workspace requires an active Workshop plan subscription — see current pricing. It is not available on the Free or Pro plans.

What a Shared Workspace Means

A project saved by any member while they are in the organization belongs to the organization rather than to the person who saved it. In practice:

  • Everyone sees it. The project appears in every member’s projects panel, not just the one who saved it.
  • Everyone can work in it. Any member can open the project, rename it, and add or edit the cuts inside it.
  • Progress markers are shared. The progress of each sheet — tapped parts, ticked cuts and the Completed status — is visible to the whole team. This is the practical point of the whole feature: it is what stops two people cutting the same board twice.
  • Deleting stays with the owner. A member can edit a colleague’s project but cannot remove it, so nobody accidentally erases someone else’s job.

Members do not need their own paid plan. Access — and the plan itself, see below — comes through the workspace.

Sharing is not retroactive. Every project saved before the shared workspace shipped stays personal and stays invisible to your colleagues. Nothing anyone saved in the past became visible as a result of this change — if you are wondering whether your old quotes were suddenly exposed to your employees, the answer is no.

Only projects saved from now on, by someone who is in the organization at the time they save, belong to the organization. To bring an older project into the shared list, open it and save it again as a new project.

Spotting a colleague’s project

In the projects panel, a project that belongs to someone else in your workspace carries a 👥 marker next to its name. Hover it and the tooltip reads “Shared with you from your workspace — a colleague owns this project. You can edit it; only the owner can delete it.”

Those projects also have no delete button. The rename (✏) button is still there — a colleague’s project can be renamed and edited, just not removed. Your own projects look exactly as they always did, with both buttons.

There is no live push: changes are saved to the cloud as you work, and a colleague sees them the next time they open or reload the project.

Your Plan Travels With the Seat

A member who accepts your invitation gets the plan the owner is paying for, everywhere the plan is checked — unlimited optimisations and the Workshop features (quotation PDF, the panel-saw settings, unlimited true-shape nesting and grain matching, and the shared workspace).

  • Nothing is required of anyone. No re-inviting, no re-saving, no setting to switch on. Colleagues already in your organization pick it up on their own.
  • It only ever lifts. A member who pays for Pro themselves is raised while the seat covers them, never dropped.
  • If the owner’s subscription lapses, the seat stops granting anything. Each member falls back to the plan they hold themselves, and its limits.

Member Roles

Team Workspace keeps permissions simple. With a maximum of 3 people, you do not need complex role hierarchies.

FeatureTypeDescription
OwnerWorkshop subscriberFull control. Adds and removes members, manages billing, opens and edits every project in the workspace, and is the only one who can delete a project.
MemberAdded userCreates projects, runs optimisations, and opens, renames and edits every project in the workspace, including its cuts and progress markers. Cannot manage billing, add or remove other members, or delete a project a colleague saved.

Adding Team Members

Membership is managed from the CutOptim Dashboard, not from inside the app itself.

You invite by email address. CutOptim sends that address an invitation e-mail with a Join the team button, valid for 14 days. The person joins only when they click it and are signed in with that address — until then the invitation is pending and grants nothing. If the address has no CutOptim account yet, one is created for it and your colleague chooses a password after clicking the button; nobody has to register first.

  1. 1

    Open the Dashboard

Log in with the owner account and open your CutOptim Dashboard.

  2. 2

    Find the Team management section

Scroll to the section headed Team management. It is only shown on Workshop plan accounts.

  3. 3

Create the organization, if you have not already

Enter an organization name — your company name is the obvious choice — and click Create organization. You are added as its owner.

  4. 4

    Type your colleague's email address

Under Invite member, type your colleague's email address. It does not matter whether they already have a CutOptim account.

  5. 5

    Send the invite

Click Add. You get a confirmation reading Invitation sent — pending acceptance, CutOptim e-mails your colleague the invitation, and they appear in the Members list marked Invite pending with the date the link expires.

  6. 6

Your colleague clicks Join the team

In the e-mail they click Join the team. If they are signed in with the invited address they join at once; otherwise they sign in (password or Google), or choose a password for a brand-new account, and join. They get the owner's plan and the workspace's shared projects appear in their projects panel. Until they click, nothing changes for them.

The Members heading shows the count as n/3 — owner plus 2 members, counting both accepted members and pending invitations. When the workspace is full the email box disappears and is replaced by “Max 3 members — limit reached”.

Accepting an invitation

If someone adds you to their workspace, you receive an e-mail naming the person and the team, with a Join the team button. Click it:

  • Signed in with the invited address — you join immediately.
  • Not signed in — sign in with that address (password or Google) and you are brought back and joined.
  • A brand-new account — choose a password first; then you join.
  • Signed in as someone else — the page tells you so; sign out and continue with the invited address.

Once you join you get the owner’s plan, and the workspace’s shared projects appear in your projects panel. Nothing changes unless you click the button. The link works for 14 days — if it has expired, ask the owner to resend it. A pending invitation also shows as an Accept / Decline banner at the top of the Team management area of your Dashboard. You can leave the workspace later from the same area. (The owner cannot leave their own workspace — they delete it instead.)

If the invitation does not arrive

Most invitation problems have one of these causes:

  • Nothing in the inbox. Check the spam or junk folder for a message from CutOptim naming you and the team. If it is not there, the owner presses Resend next to the person’s name in the member list — a fresh e-mail with a new link goes out (the previous link stops working). Resend can be pressed once a minute.
  • “This invitation has expired.” The link works for 14 days. Ask the owner to press Resend; the new link is valid for another 14 days.
  • “This invitation link is no longer valid.” The owner withdrew the invitation, or a newer e-mail replaced it. Use the most recent invitation e-mail.
  • “You are signed in as … but this invitation is for …”. The browser is signed in with a different CutOptim account. Click Sign out and continue, then sign in with the invited address.
  • The colleague had no account. After clicking the button they choose a password for the new account; they do not need to register first. If they close the page before finishing, they open the link from the e-mail again.
  • “You are already a member of another team.” One account can be active in only one team. Leave the other team on your Dashboard first, then open the link again.
  • The address was mistyped. Click Withdraw next to the wrong address and invite the right one. An account that was created only for that invitation and never used is deleted again.

A pending invitation counts towards the 3 seats until it is accepted or withdrawn.

Removing a Member

To revoke a member’s access, go to the Team management section of the Dashboard. Each member other than the owner is listed by name and email address with a Remove link. Click it and confirm. A person who has not accepted yet shows Withdraw and Resend instead: Resend e-mails a new link (valid for another 14 days, and the old link stops working), Withdraw cancels the invitation — its link stops working, and an account that was created only for this invitation and never used is deleted again.

The member loses access to the workspace immediately, and the seat stops granting them the owner’s plan — they fall back to their own. Their personal CutOptim account is not deleted.

Work they saved into the workspace stays in the workspace: projects they saved while they were a member belong to the organization, so the remaining members keep seeing them, opening them and editing them. Removing a person does not remove their jobs.

Practical Workshop Setup

Here is a typical workflow for a two-person cutting team plus an estimator:

Estimator (owner) sets up all incoming jobs from the office. They create projects, enter cut lists, assign materials, and run the optimiser to generate the cut plan. Everything is ready before anyone picks up a saw.

Operator 1 and Operator 2 (members) open CutOptim on a tablet at their respective saws. They see the same projects, open the relevant cut plan, and use Progress Tracking to mark each sheet as it is completed. Because the markers are shared, the second operator can see at a glance that a sheet is already done rather than cutting it twice. The estimator can check progress from the office by reloading the cut, without calling across the shop floor. Nothing pushes live — a reload is what fetches the current state.

Because all three people are working from the same project list, there is no need to email PDFs, copy cut lists, or reconcile multiple versions of the same job at the end of the day.

Team Workspace is currently limited to 3 members (owner + 2). If your workshop needs more seats, contact CutOptim support — we would like to hear from you.

FAQ

How many members can be in a Team Workspace?
A Team Workspace supports up to 3 members in total — the owner plus 2 additional members. If you need more seats, contact CutOptim support to discuss your requirements.
What is the difference between the owner and a member?
The owner has full control: they manage billing, add and remove members, and can delete any project. Members can create projects, run optimisations, and open, rename and edit any project in the workspace — including its cuts and its progress markers. What a member cannot do is manage billing, add or remove other members, or delete a project a colleague saved.
What does 'shared workspace' actually mean?
A project saved by any member while they are in the organization belongs to the organization, not to the person who saved it. Every member sees it in their projects panel, can open it, rename it, add and edit cuts inside it, and set the per-sheet progress markers. Deleting it stays with the owner. Two limits are worth knowing: sharing is not retroactive, and a project you did not save yourself cannot be deleted by you.
Did the projects I saved before this update become visible to my colleagues?
No. Sharing is not retroactive. Every project saved before the shared workspace shipped stays personal and stays invisible to your colleagues — nothing you saved in the past became visible as a result of this change. Only projects saved from now on, by someone who is in the organization at the time, belong to the organization. If you want an older project shared, open it and save it again as a new project.
How do I add someone to my workspace?
Open your CutOptim Dashboard and go to the Team management section. Type your colleague's email address and click Add. CutOptim e-mails them an invitation with a Join the team button; they join when they click it and sign in with that address. If the address has no CutOptim account yet, one is created for it and your colleague chooses a password after clicking the button. The link is valid for 14 days; you can resend or withdraw it from the member list.
I was invited to a workspace — how do I accept?
Open the invitation e-mail and click **Join the team**. If you are signed in with the invited address, you join straight away; otherwise sign in first (with your password or Google) — or, for a brand-new account, choose a password — and you are in. You then get the owner's plan and the workspace's shared projects. Nothing happens unless you click the button. An invitation also shows as an **Accept / Decline** banner in the Team management area of your Dashboard.
What happens if my Workshop subscription lapses?
The seat stops granting anything. Each member falls back to whatever plan they hold themselves — free, unless they subscribe on their own — and to that plan's limits. The organization and its member list are not deleted, and no project data is lost. Renewing the Workshop plan makes the seats grant Workshop again.
